Zur Dokumentation der Planungsprozesse sind zahlreiche Besprechungen und damit verbundene Protokolle notwendig, um unter anderem die vollständige Aufgabenverteilung und Zuordnung von Verantwortlichkeiten zwischen den Projektbeteiligten sicherzustellen. Die Transparenz der Prozesse in einem Bauprojekt hängt nicht nur von der Zusammenarbeit der Beteiligten und ihren unterschiedlichen Spezialisierungen ab, sondern auch von ihrer individuellen Arbeitsweise. Eine sinnvolle Prioritätensetzung und eine klare Koordination der unterschiedlichen Arbeitsschritte sind für die Qualität, das Zeit- und Personalmanagement, sowie für die Kundenzufriedenheit und somit für den Erfolg eines Projekts wichtig. Mit dem Ziel, den aufwendigen Protokollierungsprozess im Zusammenhang mit der Planung von Bauprojekten zu optimieren, wurden im Rahmen dieser Diplomarbeit die Potenziale der Digitalisierung und Automatisierung untersucht. Dafür wurden Protokollierungsbeispiele aus der Praxis verwendet, im Detail analysiert, anonymisiert und schematisch in Flussdiagrammen dargestellt, um diese für weitere Forschung zu nutzen. Durch die Analyse sollen folgende Fragen beantwortet werden: Wo liegen die Vor- und Nachteile aktueller Protokollierungsprozesse? Wäre es möglich, den Protokollprozess durch Teilautomatisierung und wiederkehrende Muster zu optimieren? Trotz verfügbarer Technologien wie BIM, Cloud-Software oder automatisierter Dokumentation wird die Komplexität vieler Protokollierungsprozesse derzeit nur unzureichend abgebildet. Diese Arbeit geht von einer Ist-Situation im Planungs- und Baumanagement aus, in der eine umfassende und der Komplexität angemessene Protokollierung in der Planungsphase entsprechend dem heutigen Stand der Digitalisierung und der vorhandenen technologischen Entwicklungen noch nicht vollständig genutzt wird.Ziel der Analyse ist es, die Potenziale sowie die Schwierigkeiten für die Automatisierung in der Protokollerstellung auszuwerten und in den Planungsprozess zu implementieren.Durch die durchgeführten Analysen konnten klare Muster in der derzeitigen Protokollierungspraxis identifiziert und aufbereitet werden, welche mit einer Automatisierung zu einer Verbesserung des derzeitigen Ablaufs beitragen und ihn effizienter gestalten können.Eine Standardisierung aller Bausteine der Protokollierung, einheitliche Vorlagen und Begriffe würden dazu führen, dass alle Projektbeteiligten ein einheitliches System nutzen, dass dafür sorgt, dass jeder Protokollschritt von allen Beteiligten auf die gleiche Weise durchgeführt, erfasst und ausgewertet wird. Dabei soll sichergestellt werden, dass die relevanten Informationen zeitgleich bei allen Beteiligten ankommen, was zu einer echten Verbesserung in der oft uneinheitlichen Praxis der Protokollierung im Bauwesen führen würde.

The documentation of planning processes in construction projects requires numerous meetings and the associated protocols to ensure, among other things, the comprehensive distribution of tasks and the assignment of responsibilities among project participants. The transparency of these processes depends not only on the collaboration and various specializations of the partners but also on their individual working methods. A meaningful prioritization and clear coordination of work steps are crucial for quality, time and resource management, client satisfaction, and ultimately for the success of the project.This thesis investigates the potential of digitalization and automation to optimize the often time-consuming process of protocol creation in the context of construction project planning. Practical examples of meeting protocols were analyzed in detail, anonymized, and schematically illustrated by using flowcharts to enable their use in further research. The study aims to answer the following key questions: What are the advantages and disadvantages of current documentation practice? Is it possible to optimize the protocol process through partial automation and the recognition of recurring patterns?Despite the availability of technologies such as BIM, cloud-based software, and automated documentation tools, the complexity of many current protocol processes is still insufficiently addressed in practice. This work starts from the observation that, in today’s planning and construction management, comprehensive and complexity-appropriate documentation is not yet fully utilized, even though digital and technological tools are increasingly available.The objective of this analysis is to identify and evaluate the potentials and challenges of automating protocol documentation and to derive recommendations for its integration into the planning process. Through the conducted analyses, clear process patterns in current documentation practices were identified and processed. These patterns, when automated, can significantly contribute to optimizing the current workflow and to increasing overall efficiency.Standardizing all components of documentation, such as templates and terminology, would lead to the use of a uniform system by all project participants. This would ensure that each protocol step is created, processed, and evaluated consistently by all partners. Moreover, it would help to guarantee that all relevant information is made available simultaneously to all involved parties, thus representing a substantial improvement in the often inconsistent practices currently found in the construction sector.
