Robotic process automation of tasks on the example of back office processes

Abstract

Technological advances have helped companies over the years to overcome efficiency, productivity and quality challenges. The advantages that resulted were flexible, profitable and efficient solutions. Although business processes are automated with a variety of conventional automation methods and tools, research activities still reveal gaps in the automation of administrative processes in back office. Those processes are still heavily burdened with manual, tedious and time-consuming tasks and activities, which creates potential for automation.The aim of this work is to gain a deeper knowledge of Robotic Process Automation (RPA) compared to conventional technologies for the automation of administrative processes. The work examines the quantifiable effects of Robotic Process Automation on administrative processes in back office, which is demonstrated using an implemented artifact. The comparison or the evaluation of technologies for the automation of administrative processes focuses on criteria regarding the presence or absence of features, but also on the comparison regarding cost efficiency, implementation effort or autonomy. The data for the evaluation was collected from various external sources. A case study was also carried out to validate the evaluation results. The case study was conducted on a sick leave process in back office. The automated process using Robotic Process Automation was compared qualitatively and quantitatively with the purely manual process.The thesis clearly shows that through application of Robotic Process Automation on administrative processes, both financial and non-financial advantages in terms of return on investment, cost savings, complexity reduction, efficiency increase, accuracy increase, quality increase and increased employee satisfaction, can be achieved.

Technologische Fortschritte haben Unternehmen im Laufe der Jahre geholfen, Herausforderungen in Bezug auf Effizienz, Produktivität und Qualität zu bewältigen. Die Vorteile, die sich dadurch ergaben umfassten flexible, rentable und effiziente Lösungen. Obwohl die Automatisierung von Geschäftsprozessen aber mit einer Vielzahl von herkömmlichen Automatisierungsmethoden und -werkzeugen erfolgt, zeigen Forschungstätigkeiten noch Lücken im Bereich der Automatisierung von Verwaltungsprozessen. Jene Prozesse sind noch immer stark von manuellen, langwierigen und zeitaufwändigen Aufgaben und Aktivitäten geprägt, was Potenzial zur Automatisierung schafft. Ziel dieser Arbeit ist es, ein tiefergehendes Wissen über robotergesteuerte Prozessautomatisierung (RPA) im Vergleich zu herkömmlichen Technologien zur Automatisierung von Verwaltungsprozessen zu erlangen. Die Arbeit untersucht dabei quantifizierbare Auswirkungen von robotergesteuerte Prozessautomatisierung auf Verwaltungsprozesse im Backoffice, was anhand eines implementierten Artefakts gezeigt wird. Der Vergleich bzw. die Evaluierung von Technologien zur Automatisierung von Verwaltungsprozessen konzentriert sich dabei auf Kriterien hinsichtlich des Vorhandenseins oder Fehlens von Merkmalen, aber auch auf den Vergleich hinsichtlich Kosteneffizienz, Implementierungsaufwand oder Autonomie. Die Basisdaten für die Evaluierung wurden aus verschiedenen externen Quellen gesammelt. Außerdem wurde eine Fallstudie durchgeführt, um die Evaluierungsergebnisse zu validieren. Die Fallstudie wurde an einem Prozess zu Verwaltung von Krankmeldungen durchgeführt. Der automatisierte Prozess mittels robotischer Prozessautomatisierung wurde dabei mit dem rein manuellen Prozess qualitativ sowie quantitativ verglichen. Die Diplomarbeit zeigt deutlich, dass durch die Anwendung von robotischer Prozessautomatisierung auf Verwaltungsprozesse, finanzielle sowie nicht-finanzielle Vorteile hinsichtlich Return on Investment, Kosteneinsparung, Komplexitätsreduzierung, Effizienzsteigerung, Genauigkeitssteigerung, Qualitätssteigerung sowie gesteigerte Mitarbeiterzufriedenheit erzielt werden können.
